Kafra Bot – Privacy Policy

1. Who operates the Bot

Kafra is a free, fan-made Discord application independently operated by Ryan Geldun. It is not affiliated with, endorsed by, or sponsored by Discord Inc. or Gravity Co., Ltd. Contact details are in section 9.

2. What the Bot can and cannot see

Kafra runs on HTTP interactions only. It has no Discord Gateway connection and no Message Content intent. As a result it cannot read your messages, see your channel list or member list, access voice channels, read direct messages, or observe anything that happens in a server unless someone directly runs a /kafra command or uses one of its menus.

3. Information the Bot receives

When you run a /kafra command (or pick an option from a “which one did you mean?” menu), Discord sends the Bot only the data needed to answer it:

• the command you ran and the text you typed as its arguments (an item, monster, map or boss name; a refine level; a number of minutes; an in-game channel);
• your Discord user ID, your username / server nickname / display name, and your avatar image URL, used to show “Requested by you” in the reply so a screenshot still says who asked;
• the ID of the server and channel where you ran the command;
• the Discord permission flags for that context, used to check whether the Bot is allowed to post a reminder in that channel.

The Bot does not request, receive, or store your email address, your real name, your IP address, your friends list, your other server memberships, or any Discord data beyond the above.

4. Information the Bot stores

Most commands store nothing. The item, farm, monster, where, map, refine, help and happyhour schedule lookups are answered and immediately forgotten — there is no log of what you searched for.

Two opt-in reminder features keep a small record in a Cloudflare D1 database:

• Boss timers (/kafra bosstimer): the server ID, the channel ID the command was run in, the in-game channel, the boss name, the Discord user ID of the person to ping, and the kill / expected-respawn / reminder timestamps. Each row is deleted automatically about 48 hours after its reminder time, whether or not it fired. You can delete one immediately with /kafra bossclear.
• Inn happy-hour reminders (/kafra happyhour reminders:on, which needs the Manage Server permission): the server ID, the channel ID to post in, and the Discord user ID of the admin who enabled it. The row is deleted when an admin runs /kafra happyhour reminders:off, or automatically if the Bot loses permission to post in that channel.

That is the complete list of what the Bot persists. There is no analytics, no advertising, no profiling, and no other database.

5. How the information is used

The Bot uses what it receives and stores for one purpose only: to operate the feature you invoked —

• to look up an answer from the Midgard Community Hub database and post it back in the channel;
• to attribute the reply to the person who requested it;
• to ping the person who set a boss timer, in the channel they set it in, shortly before the respawn;
• to post an Inn happy-hour heads-up in a channel an admin subscribed.

We do not sell, rent, trade, or share this information with anyone, except the infrastructure providers in section 6 that are strictly necessary to run the Bot, or where required by law.

6. Infrastructure and sub-processors

• Discord — the Bot is a Discord application; every command and every reply passes through Discord’s platform, governed by the Discord Privacy Policy.
• Cloudflare — the Bot runs as a Cloudflare Worker and the reminder database is Cloudflare D1. Cloudflare processes each request and may retain short-lived operational logs for security, abuse prevention and reliability, governed by the Cloudflare Privacy Policy.
• The Bot fetches the Ragnarok Zero game database from midgardhub.com. That request carries no user data — it is the same public data file the website uses.

There are no other third parties.

7. Data retention

Boss-timer rows are deleted automatically roughly 48 hours after their reminder time. Happy-hour subscription rows persist only until an admin turns the feature off or the Bot loses channel access. Nothing else is retained. If the Bot is removed from a server, its stored rows for that server stop being used and are cleared by the routines above; you may also ask us to delete them immediately (section 8).

8. Your choices and rights

• Stop all data collection: stop using /kafra, or remove the Bot from your server.
• Delete a boss timer now: run /kafra bossclear, or let it expire.
• Delete a happy-hour subscription: run /kafra happyhour reminders:off.
• Access or deletion request: depending on where you live you may have the right to access, correct, or delete personal data we hold about you, or to object to or restrict its processing. Because the Bot stores so little and expires it so quickly, the commands above usually resolve this instantly; for anything else, contact us (section 9) with your Discord user ID.

10. Children

The Bot is not directed at children under 13, or under the minimum age of digital consent in your country. Discord’s own Terms of Service require every user to be at least 13 years old.

11. Changes to this policy

We may update this policy from time to time. The date above reflects the most recent revision, and material changes will be announced in the Midgard Community Hub Discord. Continued use of the Bot after a change constitutes acceptance of the updated policy.
